Virtual Office & VPOB — Frequently Asked Questions

Everything ecommerce sellers, MSMEs, and growing businesses ask about virtual offices, VPOB, APOB, and multi-state GST registration in India.

Virtual Office

GST registration, business address, use-cases

What is a virtual office and how does it work in India?

A virtual office is a KYC-verified commercial business address that you can use for GST registration, company incorporation, and mail forwarding — without renting physical office space. In India, a virtual office address is legally valid for GST registration under Section 22 of the CGST Act, provided the premises are owned or leased by the service provider with proper rent agreement, NOC, and utility bill documentation. TheGSTCo operates owned virtual office premises across 28 Indian states and UTs, starting from ₹X,XXX/year.

Can I use a virtual office for GST registration?

Yes — virtual office for GST registration is fully legal in India. A virtual office address is accepted as the principal place of business (PPOB) or additional place of business (APOB) for GST registration, provided the address comes with a valid rent agreement, NOC from the property owner, and a utility bill not older than 2 months. TheGSTCo's virtual office for GST registration includes all three documents, and our addresses have a near-100% success rate with GST officer verification.

Is a virtual office legal for business registration in India?

Yes. Virtual offices are recognized by the Ministry of Corporate Affairs (MCA), GST Network (GSTN), Income Tax Department, and RBI as valid business addresses — provided the provider furnishes proper documentation (rent agreement + NOC + utility bill). You can use a virtual office address for: company/LLP incorporation, GST registration, MSME/Udyam registration, IEC, trade licence, Shop & Establishment registration, and current bank account opening.

What is the difference between a virtual office and a coworking space?

A virtual office gives you a business address, mail handling, and documentation for registration — without physical workspace. A coworking space gives you a physical desk or seat in a shared office. Most coworking operators (WeWork, Awfis, Smartworks) don't provide GST-compliant documentation because their leases don't allow sub-tenancy for GST purposes. A dedicated virtual office from TheGSTCo is purpose-built for registration and compliance, not daily working.

How much does a virtual office in India cost?

Virtual office cost in India varies by city and use-case. Typical pricing ranges:

  • Tier-1 metros (Mumbai, Delhi, Bengaluru) — ₹8,000–₹15,000 per year
  • Tier-2 cities (Pune, Hyderabad, Chennai, Kolkata) — ₹6,000–₹10,000 per year
  • Tier-3 cities — ₹4,000–₹8,000 per year
Prices include rent agreement, NOC, utility bill, and mail handling. Verify exact pricing on our plans page.

What documents are provided with a virtual office address?

Every virtual office plan from TheGSTCo includes:

  • Rent Agreement on ₹500 stamp paper, registered or notarized as per state norms
  • No Objection Certificate (NOC) from the property owner authorising GST/business registration use
  • Latest utility bill (electricity, within 2 months old) in the owner's name
  • Property ownership proof (index-2, sale deed, or property tax receipt as required)
  • Authorisation letter for GST authorised signatory
These five documents are the standard stack GST officers require during registration and physical verification.

Can I open a current bank account using a virtual office address?

Yes. A virtual office address is accepted by all major Indian banks — HDFC, ICICI, Axis, Kotak, IDFC First, SBI, and others — for opening current accounts, provided you submit the standard documentation pack (rent agreement, NOC, utility bill) along with your company/GST/MSME registration using that address. Some banks may request physical verification; our manned premises handle this smoothly.

Can foreign companies use a virtual office in India?

Yes. Foreign companies and NRI entrepreneurs regularly use virtual offices in India to: (1) incorporate Indian subsidiaries or LLPs, (2) get GST registration for marketplace selling on Amazon India, Flipkart, Meesho, (3) establish a registered office for FEMA/RBI compliance. TheGSTCo has onboarded 500+ foreign entities from US, UK, Singapore, UAE, and China.

VPOB & APOB

Multi-state GST for Amazon, Flipkart, Meesho sellers

What is VPOB (Virtual Place of Business)?

VPOB is the full form of "Virtual Place of Business" — a KYC-verified commercial address in a state where you don't physically operate, used to obtain a valid GSTIN in that state. For ecommerce sellers, VPOB is what unlocks selling on Amazon FBA, Flipkart Assured, Meesho FBF, and other marketplace warehouses located in different states — without renting an office there.

What is APOB and what is the APOB full form in GST?

APOB full form in GST is "Additional Place of Business" — a secondary address added to your existing GSTIN within the same state. If VPOB gives you a GSTIN in a new state, APOB is what you file after to add Amazon FCs, Flipkart warehouses, Meesho fulfilment centres, or your own storage locations under that GSTIN. Most ecommerce sellers need both: one VPOB per state to get the GSTIN, and multiple APOBs per state for every warehouse they use.

What is the difference between VPOB and APOB?

VPOB vs APOB:

  • VPOB = Virtual Place of Business. The primary address used to obtain a brand new GSTIN in a state where you have no physical presence.
  • APOB = Additional Place of Business. Extra addresses added to an existing GSTIN — typically marketplace warehouses or your own storage facilities within the same state.
Example: To sell on Amazon in Karnataka, you first get a VPOB-based GSTIN for Karnataka. Then you add Amazon's Bengaluru FC and Hosur FC as APOBs under that GSTIN. One VPOB, multiple APOBs.

Do I need VPOB for Amazon, Flipkart, and Meesho selling?

You need VPOB whenever you want to store inventory in a marketplace warehouse in a state where you don't have GST registration. Amazon FBA, Flipkart Assured, and Meesho FBF all require a GSTIN in the state of the fulfilment centre. Without VPOB, you can only use your home state's FC — severely limiting delivery speed and Prime/Assured eligibility. VPOB for Amazon, Flipkart, and Meesho is the standard path for scaling pan-India.

How long does VPOB registration take?

End-to-end VPOB + GST registration typically takes 7–14 working days. Breakdown: 1–2 days for rent agreement + NOC + documentation, 1 day for GST application filing on the portal, 3–10 days for GSTN department processing (varies by state). Maharashtra and Karnataka are fastest; Telangana and West Bengal are slowest. Physical verification, when triggered, adds 3–5 days.

Do I need a separate GST registration for each state I sell in?

Yes. Under Section 22 of the CGST Act, every state where you have a "place of business" requires a separate GSTIN. For ecommerce sellers storing inventory in marketplace FCs across states, each of those states becomes a place of business and needs its own registration. This is why multi-state GST registration via VPOB is the industry-standard path for sellers scaling beyond one or two states.

Can I use VPOB without the GST officer's physical verification?

Roughly 30–40% of VPOB applications trigger a physical verification visit by the GST officer. Because TheGSTCo's VPOB addresses are owned or long-leased commercial premises with signage, nameplates, and staff on site, verification passes smoothly. We also coordinate with officers for documentation review. We don't use residential flats or coworking desks that fail verification — which is why our approval rate exceeds 98%.

Is VPOB legal for GST registration in India?

Yes, VPOB is fully legal. The CGST Act does not require the principal place of business to be self-owned — a leased or sub-leased commercial premises with valid rent agreement, NOC, and utility bill satisfies the legal requirements for GST registration. Virtual Place of Business for GST is an established, industry-standard practice used by thousands of Amazon SPN partners, Flipkart RCA partners, and ecommerce consultants across India.

GST Registration

Documents, timelines, amendments, notices

What documents are required for GST registration?

GST registration documents required:

  • PAN card of the business entity (company, LLP, partnership, or proprietor)
  • Proof of business constitution (COI for company, partnership deed for firm, Aadhaar for proprietor)
  • Identity & address proof of directors/partners/proprietor (Aadhaar + PAN)
  • Principal place of business proof (rent agreement + NOC + utility bill — what a virtual office for GST registration provides)
  • Bank account proof (cancelled cheque or recent bank statement)
  • Photograph of authorised signatory
  • Board resolution (for companies authorising signatory)

How long does GST registration take?

Standard GST registration takes 3–7 working days once the application is filed, assuming no queries. With Aadhaar authentication, the process is faster. If physical verification is triggered, add 7–15 days. VPOB-based multi-state GST typically takes 7–14 days end-to-end.

Can I get GST registration without a physical office?

Yes. GST registration without a physical office is possible using a virtual office address (for home-state GSTIN) or VPOB (for additional-state GSTIN). The CGST Act requires a valid principal place of business with proper documentation — not self-owned premises. Virtual office providers like TheGSTCo supply the rent agreement, NOC, and utility bill required for GST compliance.

How do I amend my GST registration to add a place of business?

GST amendments are filed via Form GST REG-14. Adding an APOB (Additional Place of Business) is a non-core amendment — auto-approved within 24 hours. Changing the principal place of business or legal name is a core amendment requiring officer approval, taking up to 15 working days. TheGSTCo handles both end-to-end.

What if I receive a GST notice during VPOB registration?

Common notices during registration include REG-03 (clarification sought on application) and REG-17 (show-cause on cancellation). Both have 7–15 day response deadlines. TheGSTCo drafts the reply, compiles supporting documents, and represents you with the officer where required. Our notice-handling adds to the 98%+ approval rate on VPOB applications.
